Purchase Ledger Supervisor

Description:

As the Purchase Ledger Supervisor for this growing service provider you will ensure the correct records are maintained, which will satisfy the external auditors and ensure all suppliers are paid in a prompt manner. You will be 'hands on' working closely with and leading a team of accounts payable clerks to manage the supplier base and payment of invoices, in accordance with group and entity policies to incorporate the following:

  • Supplier invoices are scanned, distributed, processed and allocated for authorisation
  • Ensure accurate recovery of input VAT
  • Management of the invoice authorisation process
  • Timely and accurate passing of invoices to nominal and subcontract liabilities, as applicable
  • Communicate unauthorised invoice position weekly
  • Timely resolution of supplier queries with budget holders
  • Monthly supplier statement reconciliations, dealing with and resolving any account anomalies as they arise
  • Monthly / mid monthly supplier payment runs in accordance with timetable
  • Ad hoc supplier payments, as applicable
  • Minimise unapproved invoices
  • Timely closure of purchase ledger at month end in accordance with management accounts deadline
  • Regular review of aged creditors
  • Management and creation of new supplier accounts and master creditors in accordance with group policy
  • Produce manual cheques when required and immediately post on the system
  • Liaising with stakeholders to resolve any issues
  • Updating and maintaining Excel spreadsheets
  • Any other task that may reasonably be requested by Management

Person specification:

  • Minimum of two years recent experience in a team leader / supervisory role
  • Excellent communication skills both in writing and verbally and at many different levels
  • Excellent issue resolution skills
  • Commercial acumen
  • Analytical with high attention to detail
  • Detailed knowledge of accounting and IT systems.
  • Ability to motivate and lead a team to get results
  • Flexible, punctual and able to prioritise workload to meet multiple deadlines on a daily basis
  • Confident, enthusiastic and self-motivated
  • Determination to succeed
  • Flexible in working within the duties of the role and working hours, in order to meet deadlines
  • Appreciates that projects need to be completed by deadline
  • Methodical approach with an ability to work under pressure
  • Understands and implements processes
  • Builds appropriate professional, friendly and accessible relationships with employees and line managers
  • Resilient and able to work in an organisation that is undergoing change due to development and growth
